Keynote Presentation Guidelines

Dear Keynote Speaker,

Thanks again on your willingness to give a keynote presentation at the 15th European Wildlife Disease Association Conference on One Health—Challenges and Opportunities for the Surveillance and Management of Wildlife in Stralsund, Germany. You are making a significant contribution to the quality of our scientific programme.

Now, it is time to brief you on the presentation guidelines.

To guarantee the smooth organisation of our conference, please read the following guidance carefully and follow the respective steps.

The upload deadline is September 2nd, 2024! (Please read to the end of this document!)

For cyber security and organisational reasons, we do NOT offer the option of uploading your presentation via a USB drive during the conference. You are not allowed to use your notebook for presentation.

Guidelines for ORAL Presentations

Your presentation is allotted 35 minutes, with an extra 10 minutes for Q&A and speaker handover.

 

The chairs of your session will manage the time strictly to ensure that each speaker has an equal and fair share. Therefore, keeping your presentation within the assigned time slot is in your interest. After signing into the Oxford Abstracts System, you will find your session and the exact time of your presentation in the Conference Programme. After you log in, you must press the “View” button next to the Programme card, set your preferred time zone, and navigate the system by clicking on one session window at a time. Alternatively, you will find the programme here: virtual.oxfordabstracts.com.

Before you start to prepare your presentation, read the following instructions:

Presentations should be created in widescreen (16:9) format

  1. Read your abstract once again. Are your data still accurate? Your presentation should match your abstract.
  2. Please ensure your presentation can be opened and displayed with MS PowerPoint or Acrobat Reader software. While PDF versions are not recommended for presentation, we encourage you to upload them, too, as a backup, especially if your presentation was not created using MS PowerPoint software.
  3. Please use appropriate font sizes and do not overload your slides with text. We have 300 participants on site, which means that many colleagues will be placed at a greater distance from the conference stage.
  4. Integrating a video is at your own risk. We recommend that you design your presentation to be understood without playing a video.
  5. We will have a professional conference sound system, but a final sound check can only be done just before the conference starts. We cannot guarantee that a presentation audio can be played through the conference sound system. We recommend that you design your presentation to be understood without sound.
  6. Please use short sentences and write the text in a way that is understandable to your peers from other disciplines. Remember, our theme is One Health, which means we are transdisciplinary.
  7. To stimulate transdisciplinarity, we ask all presenters to include a final statement bringing their results into the context of One Health.
  8. To be on the safe side, you may bring a print of your presentation notes in case you need guidance while speaking.

Poster Presentation Guidelines

Guidelines for POSTER Presentations

(RAPID POSTER DISCUSSIONS (invited only) see end of document)

We consider posters equally important as oral presentations. Therefore, we are organising a special poster Session, the famous EWDA Poster and pasta Party. Poster presenters are requested to present their research results on their posters during this event!

Please display your poster on the assigned poster board with your submission number from Tuesday, 10 September 2024, 11:05 AM at the latest. We will provide the necessary tools (needles) to fixate your posters during the conference.

Posters must be removed between Thursday (12/09/2024) evening at the end of the conference day and Friday (13/09/2024) morning by 8:00 AM.

Before you start to prepare your poster, read the following instructions:

  1. The poster format is restricted to A0 portrait format. Please leave a sufficient margin (2 cm) to fix the poster without compressing the content.
  2. Read your abstract once again. Are your data still accurate? Your poster should match your abstract without repeating the text.
  3. Please use appropriate font sizes and not overload your poster with text. We have 300 participants on site, and several colleagues may visit posters simultaneously, especially during the Poster & Pasta Party event. Make sure your poster is legible when viewed from 2 metres away.
  4. Since posters are not permanently attended, we recommend posters having a portrait of the presenter in the bottom right corner and a contact email in the affiliation part to enable networking.
  5. Please use short sentences and write the text in a way that is understandable to your peers from other disciplines. Remember, our theme is One Health, which means we are transdisciplinary.
  6. To stimulate transdisciplinarity, we ask all poster presenters to include a final statement bringing their results into the context of One Health.

In addition to your printed poster, we ask all poster presenters to upload an A4 PDF version of their poster using the provided link by 2nd September 2024. This will allow online participants to access your work and ease the evaluation process for the student awards competition. For cyber security and organisational reasons, we do NOT offer the option of uploading your poster via a USB drive during the conference.

If you have received an invitation to participate in the RAPID Poster Discussions, please read further.

Poster presenters selected for the RAPID POSTER DISCUSSIONS (invited only)

The RAPID Poster Discussions are meant to increase the interactions during the Poster & Pasta Party. Each author will present a 60-90-second research summary using one(!) PowerPoint slide. This will be followed by the traditional poster display/viewing period and discussion of the poster topics.

Therefore, in addition to preparing a poster of your research for display and presentation as described above, you will also need to prepare one(!) PowerPoint slide with the following information:

  1. Your name as the presenting author and your abstract submission number equal the poster board number.
  2. Summarize your poster highlights, including the most exciting pieces of data (figure or graph that shows your findings, etc.) that will draw people to your poster.
  3. Do not include the methodology on this slide.
  4. Prepare a 60-90-second oral summary of your poster to be presented with the slide. The chair and audience will stop authors who exceed the 90-second time limit.
